Policy Update: RSVPing to Unit Events (Parades, Community Service, etc.)

In the past, when we have asked for participation in events outside of drill such as community service, parades, etc., sometimes we have asked for responses from those who COULD attend and other times we asked for responses from those who COULD NOT attend. To simplify our processes, Young Marines/recruits will now be required to RSVP to an event whether they are attending or not. The name/contact info of the staff member who is arranging the event as well as an “RSVP by” date will always be included in the information provided on the website. If an email response is requested, there will be a direct link to the unit contact for your convenience. NOTE: It is important that a response is given BY the RSVP date and NOT AFTER.

There are several reasons for this:

1) Information. We would like to know what kind of showing our unit is going to have at an event. If we need 6 Young Marines for an event and we have only 3 signed up, then we need to make some decisions.

2) Young Marines’ safety. Although the majority of Young Marines arrive at events with parents, there are some that are or will be able to drive themselves. If a Young Marine is supposed to be at an event and does not show, we need to know.

3) Logistics. Since we are generally at the mercy of the people planning an event, details may change at the last minute. For instance, if our meeting location changes, we need to know if there is a Young Marine we need to wait for so that he or she does not get left behind.

4) Consideration. If we have an event that requires only 4 Young Marines and we have 6 Young Marines show up because 2 did not RSVP they were attending, then we just wasted someone’s time.

5) Communication. Since everyone is now required to respond regardless of their availability, it ensures that our emails are going out properly and reaching everyone in the distribution list.

If you see an event on the unit calendar and you did not receive an email about it, verify you have subscribed to our emails via the “Stay Informed” link found on every page. If you have done so and are still not receiving emails, please email Mrs. Cimino.

As a reminder, do not hit “reply” to RSVP when an email is received unless specifically instructed to do so because most emails are generated from an unmonitored email account and therefore are not read.

If a situation arises on the day of the event and you need to contact a staff member, please email attendance@glcyoungmarines.org so the staff members at the event are aware of the situation.
